Odoo and moving to a single business system
- How do we arrive at a tailored proposal for my company?
- Every Odoo project starts with a scoping workshop with decision-makers and process owners. We map cross-functional flows, identify the modules you actually need, evaluate data migration, existing integrations, and custom development. We deliver a detailed proposal with scope, milestones, team, and timeline — before any commitment.
- How long does it take to go live?
- Standard implementation with configurable modules: 6-12 weeks. More complex implementations — with data migration, external integrations and custom modules — take 12-20 weeks. The main variables are the quality of your starting data and your team's availability for discovery and validation sessions.
- Does Odoo handle Italian e-invoicing?
- Yes. Odoo generates the FatturaPA XML, manages submission to the Italian SDI exchange system and reception of incoming invoices. The Italian Accounting module is pre-configured with chart of accounts, VAT, reverse-charge, cross-border data via SDI, and periodic VAT returns. Legal-grade archival is a separate requirement, to be assessed with your accountant or an accredited provider: during analysis we verify the right solution and integrate it with Odoo.
- Can I try Odoo before deciding?
- Yes. Odoo offers 15 days of free trial across all editions. In the scoping workshop we configure a realistic demo environment on your processes, so the trial is meaningful — not an empty-screen tour on generic forms.
- Do I have to abandon the software I use today?
- Not necessarily. Odoo integrates with external software via API: payroll system, vertical tax software, vertical CRM, MES, eCommerce. It often makes sense to leave a specialist system in place and use Odoo to coordinate the rest. We decide together during scoping.
- Will my historical data migrate into Odoo?
- Yes. We migrate customer/vendor/item records, opening accounting balances, open invoices, and active operational documents. Closed transactional history (past years) usually stays read-accessible in the old system or as an export — we decide what to migrate based on usage value, not by default.
- Is Odoo scalable as my company grows?
- Yes, deeply. You can start with four or five essential modules and progressively add purchasing, inventory, manufacturing, HR, eCommerce, marketing automation, helpdesk — without rewriting what you have. The shared data structure means each new module reuses existing records and workflows.
- What if standard modules aren't enough?
- We develop custom modules in Python on the Odoo framework. Maintainable code, documented, kept in a Git repository. We assign you the rights to the code we write for you upon full payment; the code remains subject to the licences of the underlying Odoo software (LGPL for Community, Odoo Enterprise Edition Licence for Enterprise modules). It is portable to other compatible Odoo environments. Odoo version upgrades may require adjustments to custom modules: we design them to reduce this risk, but re-testing on upgrades is a dedicated activity.
- How does post go-live support work?
- For the first 4-8 weeks after go-live we offer intensive on-demand support (priority tickets + live sessions). After that, you can continue with an hour-pack support plan or manage internally with your trained team. We don't lock you in: the goal is to make you autonomous.
- Is Odoo GDPR compliant?
- Yes, with the proper configuration. For Odoo Online/Odoo.sh, hosting takes place in the region selected at activation (an EU option is available) and the DPA is included in Odoo S.A.'s subscription terms; backups and sub-providers follow Odoo's policies. For self-hosted Community, responsibility is yours: we help you configure EU hosting, backup, retention, access control, and audit logs. Our contract includes DPA clauses and the list of sub-processors, including Odoo S.A.
- What if I want to switch Odoo partner in the future?
- No lock-in from our side. Odoo is the same platform with any partner; data and configurations are yours and portable. We hand over complete documentation of modules, configurations, and processes so another partner can step in without rebuilding.
- What makes Gitogi different from other Italian Odoo partners?

- What is the best business management software for an Italian SME?
- It depends on your processes, but most Italian SMEs benefit from an all-in-one suite that integrates sales, inventory, accounting and electronic invoicing in a single system. Odoo is one of the most widely adopted platforms in this category; Gitogi configures it around your real workflows.
- How much does a business management software like Odoo cost?
- Odoo's prices and editions are available directly on odoo.com, always up to date. Gitogi does not resell licences: we handle analysis, configuration, data migration and training. For a project estimate, get in touch.
- Does the software handle electronic invoicing through the Italian SdI?
- Yes. Odoo generates invoices in XML format and sends and receives them through the Italian Exchange System (SdI), handling reverse charge, split payment and the document types for foreign operations. Invoicing stays linked to accounting, with no manual steps.
- Can I start with a single process and add others later?
- Yes, and it's the approach we recommend. Odoo is modular: you can start from the most urgent process — for example inventory or CRM — and activate the other modules as the company grows, on the same platform and the same database.
- Is the software suitable for a micro-business too?
- Yes. The coverage ranges from a micro-business with a few users up to a structured company. You start with the essential modules and scale without changing systems, avoiding the costly migrations typical of traditional software.
- Does the data stay compliant with GDPR and Italian rules?

AI integration
- How long does an AI integration project take?
- An AI integration project with Gitogi takes 4–12 weeks. The timeline depends on the systems involved and the condition of your data. The work includes testing with your data and technical documentation.
- Will my business data leave my systems if I use AI?
- That depends on how the integration is built and which systems receive the data. Gitogi processes data within the European Union, but that does not mean it stays within your own systems. Your project needs to establish what data is transferred, who receives it, how it is used and how long it is retained.
- Do I need to replace my existing business software to use AI?
- Not necessarily: Gitogi starts with the systems you already use. Whether an integration is feasible depends on the data those systems make available and how they can connect to other applications.
- How do I know whether AI would actually help my business?
- The way to assess AI is to test it on a specific task using your own business data. Gitogi includes this testing in its integration work. To judge the outcome, you need to define what would make the integration useful, such as removing a manual step or making information easier to find.
- Who checks whether the AI's output is correct?
- Responsibility for checking the output should sit with someone who understands the process and can assess the results. Gitogi includes testing with your data and technical documentation. The project needs to establish where human review is required and how errors should be handled.
- How much does it cost to integrate AI into my business systems?
- The cost depends on your existing systems, your data and any industry-specific requirements. That is why Gitogi does not publish a price list for AI integration. Estimating the work starts with defining the task and the systems the AI needs to connect to.
Custom software
- Should I choose off-the-shelf or bespoke software?
- Off-the-shelf software makes sense when it supports the process you need to manage. Bespoke software is worth considering when a specific need remains unmet, which may mean building just one feature. Gitogi starts with your process to assess whether new software is needed at all.
- How long will it take before we can use the bespoke software?
- There is no standard timeline: it depends on what the software needs to do and which integrations it requires. A useful estimate needs a clear picture of who will use it, the tasks they need to complete and the systems it must exchange data with. - Do I keep the source code?
- Yes, the code and documentation stay with you. You can make them available to whoever takes on the software's maintenance and further development.
- Who maintains the software after handover?
- Responsibility for maintenance needs to be agreed during the project, based on the skills and resources available. The code and documentation stay with you for whoever takes the work forward. Gitogi's AIRA method aims to give you the independence to do that.
- Can bespoke software connect to our existing business systems?
- That depends on the connections your existing systems support and the data they need to exchange. Before defining the development work, you need to establish which information should move between systems and where it should be kept up to date.
- How do we decide which features to build?
- Your process and the expected business value determine what is worth building. Gitogi's free introductory call explores both, alongside feasibility. The advice may be that developing new software is not worthwhile.
The AIRA method
- What does AIRA stand for?
- AIRA stands for Assessment, Implementation, Results and Autonomy. These are the four phases Gitogi uses to structure a project: understand the need, carry out the work, check the outcome and prepare you to operate independently. Each phase has defined deliverables and completion criteria.
- Will we be able to manage the system without Gitogi once the project ends?
- AIRA aims to leave you able to move forward without depending on Gitogi. The code and documentation stay with you to support whoever manages the system. Achieving that independence means identifying who will have the skills to use and maintain it.
- How do we know whether a project has been successful?
- Success means checking the outcome against clear, testable objectives for the process you want to improve. AIRA includes a dedicated Results phase and completion criteria for every phase. For example, you might check that information moves between systems without anyone having to enter it again manually.
- What do we need to establish before starting a software project?
- Start by identifying the process you want to improve, the outcome you need and the constraints the project must meet. In AIRA, this work belongs in Assessment, the opening phase. To prepare, gather concrete examples of how the work is done today and identify who can assess the outcome.
- Who from our business needs to be involved?
- You need people who can set priorities as well as people who understand the day-to-day work. The people who will use the system help explain the process and check that the result works in practice. Whoever will take technical responsibility after handover should also be involved.
- What happens if our requirements change during the project?
- A change needs to be assessed against the planned work before it is agreed. AIRA gives each phase defined deliverables and completion criteria, which provide a basis for reviewing changes to the scope. Any revisions need to be agreed in light of their impact on the project.
Transformative intelligence
- What is transformative intelligence?
- It is an organisation's capacity to evolve as a whole and in a coordinated way: people, structure, processes, systems, flows, skills, training. It is not change handed down from the top; it happens because people at every level are genuinely involved and push the change themselves.
- Is transformative intelligence a form of artificial intelligence?
- No, and it is not a technology either. It is the organisational capacity that allows artificial intelligence, or any other system, to have a real effect on everyday work. Technology is bought; this capacity is built.
- How does transformative intelligence relate to change management?
- Change management is the set of tools used to see a transition through: communication, training, sponsorship, handling resistance. Transformative intelligence is the state of the organisation that decides whether those tools work at all. It is not an alternative to change management: it contains it.
- Why do many digitalisation projects fail to change how people work?
- Because a project delivers a system, while the way people work depends on roles, skills and responsibilities the project has no mandate to redraw. When that part does not evolve, the system goes live and the organisation carries on as before, with a new tool.
- Does it apply to every sector and every size of company?
- Yes, because it does not depend on the sector but on the pace of change around it, and that pace now reaches every market. What differs is the scale: in a small firm evolution runs through a handful of people and can be very fast; in a large organisation it takes coordination across functions.
- How does a company build transformative intelligence?
- Not through a dedicated initiative, but through the way it handles the changes it faces anyway. Open decisions to the people who will have to work with them. Let objections change something. Take proposals from every level, and extend training to the people who decide. Repeat those four things and they build it.
