Field service

Your partner for digital change and AI agents in field service

For maintenance and installation businesses with engineers on customer sites: HVAC and F-gas, fire protection, lifts and machinery after-sales service. We combine bespoke software, AI integration, training and change management. An AI agent is software that can, for example, read an engineer's notes, check them against the work order and draft the service report for your approval.

At a glance

Gitogi helps Italian maintenance businesses digitalise and use AI through bespoke software, integrations, AI agents, training and change management. Based in Milan, it’s an official Odoo partner. Odoo 20 brings field service into Planning: scheduling by customer location, a live engineer map, equipment under maintenance contracts and billable travel. An AI agent can read job notes, check them against the work order and draft the service report for your approval.

Evenings doing paperwork, days looking for technicians

Two tools to do the sums
30%

"The technicians get back at six, and that's when I start the paperwork." Many business owners say this. Salesforce's April 2025 survey of 350 US technicians and tradespeople puts admin and information gathering at about 30% of working hours; respondents estimate that 47% of appointments don't go to schedule. Job reports need retyping, records of parts used need piecing together, and invoices go out late.

78.8%

"I've been looking for a technician for months." In 2025, micro and small firms reported recruitment difficulties for 78.8% of planned hires of plumbers and pipe fitters, 71.8% of building electricians and 67.9% of electrical and electromechanical equipment installers and repairers (Confartigianato on Excelsior data, February 2026). When technicians are scarce, every hour lost in the office or on the road is an hour of work you can't get back.

"Then there are the deadlines, and every client wants the paperwork done their way." F-gas work must be reported to the Italian F-gas database within 30 days (Presidential Decree 146/2018). Fire protection requires an inspection register (Italian Ministerial Decree of 1 September 2021). Each client also asks for a different format. The same work gets done several times, by hand, by someone who should be doing something else.

What's new

Field service moves into Odoo Planning

In the version of Odoo released in September 2026, the Field Service app no longer exists: its features have moved into Planning. These include automatic scheduling based on customer locations, a live map of your technicians, management of customer equipment covered by contract, and the ability to add travel expenses to invoices. If you customised the old app, those changes need to be rewritten, so review them before upgrading.

Three approaches, one foundation: Odoo

Standard Odoo

If your service jobs follow a regular pattern, Odoo alone may be enough. It schedules visits with customer locations in mind, shows technicians on a map, links equipment to contracts, invoices travel charges and receives website requests. We check whether configuration alone will cover the way you work.

Integration

Often, Odoo is already in place, but other systems remain separate: the contract management system, the manufacturer's software, the client's portal. We connect them to Odoo so data is entered once and nobody has to retype it. Where it helps, AI reads incoming documents and prepares drafts; a person checks and approves.

Custom software with AI

Where Odoo falls short, we build what you need. For example, AI uses the technician's spoken account to draft the job report, documents and deadline entries; the business owner approves them. We learn this first-hand by building sbrigo.io, our service for maintenance companies. That's how we understand where Odoo is enough and where you need more. AI prepares, a person approves.

Odoo's limits: what it does and doesn't do

✓ SchedulingDoes: automatically assigns service jobs based on customer locations and shows technicians on a live map. Doesn't: apply your specific rules, such as technician certifications or established service areas. We add those through custom development.
✓ Equipment and contractsDoes: manages customer equipment covered by contract. Doesn't: prepare the fire-protection inspection register or the F-gas report in the required format on its own. We prepare those separately.
✓ InvoicingDoes: adds travel expenses to invoices. Doesn't: prepare an invoice from the technician's spoken account. AI handles that, with the business owner's approval.
✓ Customer requestsDoes: receives requests through the form on your website. Doesn't: read your clients' emails and documents on its own. AI reads them and prepares drafts; a person checks.
✓ Working without a signalDoes: works well where there is coverage. Doesn't: work for long periods without a connection, because Odoo is not designed for that (official documentation on offline mode). Basements and plant rooms need a custom app.
✓ UpgradesDoes: brings field service into Planning. Doesn't: carry over customisations from the old app, which need to be rewritten.

Who we work with

HVAC and F-gas

Job reports, van stock and F-gas reports due within 30 days are all in one place, with drafts ready for you to check. From 12 March 2027, leak checks extend to certain categories of mobile equipment, such as vehicle refrigeration units and air-conditioning systems in heavy vehicles.

Fire protection, lifts and water treatment

Regular service visits, an inspection register to keep up to date (fire protection, Italian Ministerial Decree of 1 September 2021) and about one million lifts in Italy (ANIE AssoAscensori-CRESME, 2023). Keeping on top of every deadline makes the difference.

Machine builders' after-sales

Services account for around 25% of revenue among roughly 200 machinery firms surveyed by Digital Industries World's "Digital servitization nel settore machinery" observatory with ASAP and industry associations (2024). Contracts, equipment installed at customer sites, spare parts and on-site service visits need to be connected: these are what the customer's renewal decision rests on.

Facility and utility contractors

Many service jobs, many clients, each with their own reporting format. You need a single job report from which to draft the documents each client requires. AI prepares, a person approves, and you don't have to do the work three times.

Calculator: technician hours lost in the office

Enter how many technicians you have and how many hours they spend on paperwork. The calculator estimates how many hours of field work you lose each month and how much that costs you.

Hours per month spent on paperwork

—

Assumption: 30% of hours spent on admin and information gathering (Salesforce, April 2025: 350 US technicians and tradespeople). The calculation assumes 21 working days a month. You enter the hourly cost.

Let's discuss your estimate

F-gas and fire-protection deadlines

The deadlines and requirements that matter, from F-gas reporting within 30 days to the fire-protection inspection register, explained in terms of what they mean for your daily work.

Within 30 days
F-gas work reported to the national F-gas database (Presidential Decree 146/2018).
From 12 March 2027
Leak checks extend to certain categories of mobile equipment, such as refrigeration units in light refrigerated vehicles and intermodal containers, and air-conditioning systems in heavy vehicles.
At every inspection
Fire-protection inspection register kept up to date (Italian Ministerial Decree of 1 September 2021).

sbrigo.io, the service for maintenance companies

sbrigo.io is the service we're building at Gitogi for maintenance companies. The technician describes the job aloud; sbrigo.io prepares drafts of the job report, documents, paperwork, deadline entries and invoice. The business owner approves them, and the knowledge gathered stays with the company. "You bring your expertise to the field. I'll take care of the rest." sbrigo.io prepares everything in draft: nothing goes out without your approval. We're looking for pioneering companies to take part in a guided trial using your own data.

Become a pioneer

When it isn't worth it

Odoo and custom software aren't for everyone. If you have two or three technicians and a shared spreadsheet that works, you don't need anything more. If most of your work is in basements and rooms with no signal, Odoo alone isn't enough. And if you aren't willing to change how you handle paperwork, no software can make that change for you. It's best to discuss this upfront, at the check-up.

Your team learns the system through real jobs

We train your engineers, office staff and accounts team using everyday work: from voice notes to service reports, scheduling and invoicing. We support the change with coaching, an operating playbook and documentation so you and your team can run the system independently.

The questions we're asked most often

Does Odoo work offline?

Not for long periods. The official documentation says Odoo isn't designed for extended use without a connection. If your technicians work in basements, plant rooms or underground spaces, you need a custom app that saves the job details on the phone and sends them to Odoo when the signal returns. We assess this case by case during the check-up.

Where did the Field Service app go?

In Odoo 20, released in September 2026, Field Service is no longer a separate app. Its features have moved into Planning: automatic scheduling that accounts for customer locations, a live technician map, management of equipment covered by contract, billable travel charges and a website request form. Customisations to the old app need reviewing and adapting to the new structure.

Can the job report include the customer's signature?

Yes, and it's one of the first things we agree with you. Where there's a connection, we set up the job report in Odoo; where there isn't, a custom solution captures the signature on the phone and sends it to Odoo as soon as possible. With sbrigo.io, the job report is drafted from the technician's spoken account, then approved by a person.

What about spare parts in the van?

We treat each van as a small warehouse: you know what's on board, what you use on each job and what to reorder. Odoo manages the inventory; we add the link to the job, so used parts appear in the job report and on the invoice without anyone retyping them. To work out the details, we start with how you use your vans.

Community or Enterprise?

It depends on how much functionality you want out of the box. Enterprise includes Planning with the features described above. With Community, we check which modules are available and compatible with your version, and what development is needed. We recommend an option after seeing how your technicians work, not before.
