Rental & fleets
Rental management software runs the full cycle: date-based availability on every item, quotations with duration pricing, delivery, return and invoicing. In Odoo, rental is linked to inventory: each piece of equipment is tracked down to the serial number, double bookings don't happen and late returns are handled by rules, not arguments.
It's the system that knows, for every rental item, where it is, when it's booked and when it becomes available again. It builds the quotation with hourly, daily or weekly pricing, generates delivery and return documents and turns it all into an invoice. When integrated with inventory, the rental fleet is the same stock the company already tracks: no duplicate lists to keep aligned by hand.
Dates drive everything: availability, documents and invoice.
The rental quotation is created with start and end dates and the price is computed from the duration price list, with online signing if needed.
Odoo shows what's free on the requested dates and blocks overlaps: double bookings never leave the gate.
At the start you record the handover with item serials: you know exactly which tool is at which customer.
On return you record the hand-back and the equipment's condition; delays are flagged automatically, with extra charges applicable by rule.
The invoice is created from the rental order, with actual duration and any extras, and posts to accounting.
The features we most often configure for SMEs.
See by date what's free, booked or out with a customer, item by item.
Price lists by hour, day, week or month, with the right rate computed from the order dates.
Every outbound and return generates its document: who has what, since when, is always on record.
Returns past the agreed date are flagged automatically and late charges apply by defined rules.
Each piece of equipment is identified by its serial number: rental history and location always reconstructable.
In the same order you can rent equipment and sell consumables, with no duplicate documents.
What changes between running the rental fleet on sheets and having it in the suite.
| Diary and Excel | Integrated rental (Odoo) | |
|---|---|---|
| Availability | Checked from memory, double bookings | Date calendar on every item |
| Prices | Recomputed by hand per duration | Hourly, daily or weekly price lists |
| Who has what | Reconstructed from phone calls | Deliveries and returns with serials |
| Late returns | Found late, argued case by case | Self-flagged, with rule-based charges |
| Invoicing | Reconstructed at month-end | Born from the rental order |
Rental doesn't live on a separate list: the items are the same ones tracked in inventory, with their serials; the customer is the same record in the CRM, with history and terms; the rental order's invoice posts to accounting and payments reconcile. If you also sell spare parts or consumables, everything sits in the same order and the same books.
Those renting machines, scaffolding or tools who must always know what's out, where and until when.
Kit that goes out and comes back constantly, where date overlaps are expensive.
Dealers and workshops renting equipment and selling parts or consumables in the same flow.
